(hereinafter referred to as the "Company"), which operates JapaTalk (hereinafter referred to as the "Service"), considers the appropriate protection of your personal information a significant responsibility and handles it in accordance with the following policy. Thank you for using our service.

1. Personal Information We Collect

In providing the Service, the Company handles the following information as personal information:

• Name
• Email address
• Teams invitation link
• Information related to booking and taking lessons, points balance and usage, and purchase history of study materials
• Background and qualification information when applying to be a tutor
• Content of inquiries
• Name and email address when using Google Account linking (details in Section 7)

Please note that payment information, such as credit card details, is processed by our payment service provider (PayPal). The Company does not collect or retain this information.

2. When We Collect Personal Information

We collect personal information from you in the following situations:

• When registering for a membership
• When editing your member profile
• When applying to be a tutor
• When submitting questions or inquiries regarding the Service

3. Purpose of Use

The collected personal information will be used for the following purposes:

• To provide and operate the Service
• To contact you (e.g., confirming lesson bookings)
• To facilitate smooth lessons with tutors
• To respond to inquiries and consultations
• To provide products and digital content, and notify you of updates
• To deliver exclusive email newsletters to purchasers
• To process and confirm payments for products and services

4. Security Management of Personal Information

The Company strictly manages personal information and implements appropriate and reasonable security measures to prevent unauthorized access, loss, destruction, falsification, and leakage. Furthermore, we regularly review our management systems and strive for continuous improvement.

5. Outsourcing

The Company may outsource the handling of personal information to external businesses within the scope necessary to provide the Service (e.g., Microsoft Teams for lessons, PayPal for payment processing, Google for adding schedules to Google Calendar, and developers/maintainers of our system). In such cases, the Company exercises appropriate supervision over these contractors.

Some of these businesses are located overseas, meaning your data may be stored or processed in a foreign country. The Company takes appropriate protective measures in accordance with relevant laws and regulations.

6. Provision to Third Parties

The Company will not provide your personal information to third parties without your consent, except in the following cases:

• When required by law
• When provided in connection with a business succession (handled within the scope of the pre-succession purpose of use)
• When necessary to protect human life, body, or property, and it is difficult to obtain your consent

7. Google Account Linking

The Service uses the Google API to improve user convenience. Information acquired with your consent is used solely for the following purposes:

• Google Login: The acquired name and email address are used for identity verification during membership registration and login.
• Google Calendar Integration: Upon request, it is used to add the dates and times of booked lessons (for students) or scheduled lessons (for tutors) to your personal Google Calendar. We do not view or manage any other events.

Information acquired through the Google API will never be sold, transferred, or shared with third parties. The use of this information and its transfer to any other app strictly complies with the Google API Services User Data Policy, including its Limited Use requirements.

8. About Cookies

To ensure a smooth experience when logging in or booking lessons, the Service saves login and time zone information in cookies. We do not conduct access analytics or provide cookie information to third parties. Cookies are used for no other purpose than improving user convenience.

9. Disclosure, Correction, and Deletion of Personal Information

You may request the disclosure, correction, or deletion of your personal information held by the Company. In such cases, we may ask you to verify your identity.

Even if you cancel your membership, your email address and Teams invitation link will be retained. This is to prevent the initial registration points from being issued multiple times to the same person. If you wish to delete all data, including these records, please contact our support desk mentioned in Section 12.

10. Personal Communication with Tutors

Unless expressly permitted by the administration, the Service does not allow personal communication between students and tutors outside of lessons, whether online or offline. All lesson-related communication must be conducted through the lesson details screen. The Company assumes no responsibility for any trouble arising from unauthorized personal communication.

11. Changes to the Privacy Policy

The Company may modify this policy as necessary. Changes will take effect immediately upon being posted on the Service.
